Minutes of PTA meeting 10th June 2010

Carol opened the meeting giving an overview of the role of the PTA. It is an enabling role to help out in the school. We help the school to raise funds for extra-curricular activities. Teachers can put bids into the PTA and we decide as a group where the money is spent. We support various days within the school for example Sports Day and The Regatta. A senior member of the school attends our meetings and gives us an update in what is happening in the school.
The PTA is able to support parents who have issues with the school, in an advisory capacity and can give advice on routes and organisations who can help. The PTA meetings do not have the capacity to support individual views and issues, as there is usually a very full agenda. Issues that affect the school or a year group as a whole, can be raised by the PTA.
Issues that were raised at the last meeting are with Mr Dastagir who will give an update at the next meeting.
We may need to change the day of our meetings as Thursday is also the day of the senior managers meeting. Mr McGregor (Deputy Head Teacher) will ensure that another member of staff attend our meetings if we cannot change the day.
Carol re-iterated the communication plan that is in place where telephone calls and emails are answered within two days.
Actions from last meeting:
Debbie Sim has a chef who is willing to help out with a BBQ at the Regatta on 16 July. She would also like to discuss the 6th form event with Ms Hampton.
Mardi Jamieson’s husband has put in bids for the 6th Form event and is waiting to hear from Ms Hampton (Head of Sixth).

The school will be providing the following uniform items with the help of the PTA:
Year 7 Ties, berets with the badge sown on, flashes, jumpers
Year 9 – blazers
Whole school – PE Kit, swim jammers
Year 7
Uniforms have been ordered. New Year 7 boys have had the order form and are expected to bring them in on the Induction evening Monday 5th July. The PTA will set up in the conference room with sample sizes. The idea is that we deal with 1 form group at a time. Orders will then be placed and made up during the week of 5th July. It is hoped that the orders will be ready to be handed to the boys on the day of their induction, Friday 9th July.
Help is required during this week and a list was sent around for PTA members to state if they were able to support the PTA for this and other events that are coming up. The list is attached.
Year 9
Letters have been sent to new, year 9 boys telling parents of the new procedure and a price. All year 9 boys have been measured to ensure the school have a selection for appropriate sizes in stock.
New PE Kit and Jammers
The system for ordering the new PE kit is up and running and working well. Details about the new swim jammers will be available shortly.
Lynn has agreed to arrive in school early to help with the set up of the room to take orders for the new, year 7 uniform.
CRB forms
All regular members of the PTA need to be CRB checked. Mrs Powell gave some tips when completing these forms:
- Do not leave any gaps on the forms
- State all addresses if you have not lived in your current address for the last five years
- Use a black pen and complete in capitals
- Do not complete sections E and F
A copy of the CRB is not kept but details are sent back to the school for their records. If you already have a CRB check that has been done with LB Lambeth you do not need to get another one done, but if you have one that is done in another borough then this is not acceptable in Lambeth.
Mrs Powell then gave an update from Mr Ainsworth (Head of PE.)
There are not kitchen facilities in Tooting Bec for the Sports Day. The PTA can sell items but we have to pay £50 for the privilege.
Swimming galas take place in the Shell Centre in the afternoon and are scheduled as follows:
Year 7 Tue 29th June and Year 8 Thurs 01 Jul
Carol thanked Mrs Powell for her update and for attending the meeting. She advised that the PTA have to submit details to the Charity Organisation by the end of Jun 2010. The rules have changed and any charity with a turnover of less than £10K does not have to file full accounts. It is useful to have charity status as it helps when asking companies for prizes etc. Mrs Powell kindly audits the accounts for us. We are covered by the school’s insurance when supporting them at events. All receipts have to be kept for 6 years.
Carol also advised that a Trustees Annual Report needs to be completed and Janice will be doing this. It’s a brief report stating what we’ve done in the last year.
It was advised that the PTA cupboard had been left open and three jars of sweets have been taken. We were hoping to sell these at the next event so they will have to be replaced. The PTA declined an offer for the school to cover the cost of replacing them.
Various PTA members asked about lost uniform. Carol stated that three members of the PTA committee dealt with this. They come in weekly and if an item has a name in it a note is put into the register advising the pupil to collect the item from the basement office.

- Serving food and soft drinks
Lynn agreed to design a flyer that will be sent out to parents. This will give us an idea
of attendance numbers.
Mrs Powell advised that the school has 2 big drum BBQ’s that can be used. We are unable to sell alcohol during the event.
Mr Dastagir (Head Teacher)will be attending the next PTA meeting. All questions are to be collated by Janice. Please send ANY questions to Janice at this email address: janice56@hotmail.com
Because of the events that need to be planned at the next meeting Mr Dastagir will be invited to give his update and answer any questions that have been put forward by the PTA members. A maximum of 45 mins has been allowed for this.
Mr Osakaya’s (ICT teacher) bid for 4 cameras was discussed. The PTA did buy some cameras for the DT department last year, can these be shared? Lynn to contact him to get further information. She also agreed to write to Canon to ask for a price for them.

Sue gave an update on the treasurer’s report, we have a balance of £5994.81.
Angela H. asked how parents of boys in other years obtain uniform. Mrs Powell to ask for the uniform order form to be put on the LNS website.
A couple of parents asked whether it was possible to do a raffle on the Induction Day. Carol stated that if 2 parents were available to do this then she would check with the school to ask if it they would be OK with this.
